How to order and evaluate vinyl plank samples - what to look for before purchasing

The choice of flooring is one of the most important renovation decisions - and one of those where the photo on the website can be very disappointing. A color that looks like warm honey oak on the screen may actually turn out to be cool and grayish. A texture that seems subtle in the rendering may be too expressive in real life or, conversely, too smooth as a material. The sample is the only reliable basis for deciding on the choice of vinyl panels.

The problem is that many people don't know how to properly evaluate a sample - and what to check beyond the color itself. In this article, we explain how to order samples, how to evaluate them step by step and what to pay attention to so that the purchase decision is conscious and well-thought-out.

Why a sample is necessary

The monitor screen and reality are two different worlds. The colors on the website depend on the display settings, color space, lighting during shooting and photo processing. The same decor may look completely different on a phone, laptop and TV - and none of these views correspond to what the panel looks like in nature.

A physical sample eliminates this variability. Holding it in your hand, you can assess the actual color in various lighting conditions, the actual texture of the surface under your fingers and eyes, the thickness of the panel and the stiffness of the core, the quality of the edges and the lock, and finally - how the decor looks against the background of specific elements of your interior: walls, furniture, windows, doors.

The cost of the sample - usually a few zlotys or free when ordered by the manufacturer - is negligible in relation to the value of the entire purchase. The floor is an investment for a dozen or several dozen years. An hour spent with samples in the apartment is definitely time well invested.

How many samples to order

Don't order one sample. When choosing a floor, it is worth having at least three or four decors that you have initially selected as candidates to compare. Only when the interiors are juxtaposed with each other and with the surroundings do they reveal differences that were invisible in the photos.

If you are hesitating between several VTL collections - for example, between Dawn 2 Dusk and Woodlands - order two or three samples of each. The differences in the core structure, thickness of the wear layer and surface texture between the collections are real and it is worth feeling them in your hand before you decide to purchase.

It is also worth ordering a sample of an option that seems too light or too dark to you - often it turns out to be exactly the right one in the context of a specific room.

Where and how to order samples

You can order samples of VinylTechLab vinyl panels via the manufacturer's website or ask about them in a flooring store. A standard sample is a fragment of a panel with dimensions enabling the assessment of the pattern and texture - usually several centimeters in length and the full width of the board. This is enough to assess the decor, although of course it will not convey the impression of the entire floor area.

When ordering, provide the collection and decor number - the names of VTL decors, such as Linen, Hazelnut or Sienna, are clear and allow the staff to quickly complete the order without any misunderstandings.

If you have the opportunity to visit a showroom or an authorized VTL partner, it is worth doing so - being able to see the full panels arranged on display gives a better idea of the end result than the sample itself.

How to evaluate a sample – step by step

Evaluate the received sample in several steps, not limiting yourself to one look in one place and light.

Step 1 – assessment in natural light

Take the sample to the room where the floor will be laid and evaluate it in daylight - in the morning, at noon and in the afternoon, because the angle of the sun changes the perception of color. Place the sample on the floor in several places - near the window, in the back of the room, in the shade under the furniture. This will give you an idea of how the color will look in different areas of the same room.

Step 2 – assessment under artificial lighting

In the evening, evaluate the sample with the lights on. Lamps with warm LED light (2700-3000 K) bring out warm tones in decors and can make cool grays look more neutral. Cold lighting (4000-5000 K) cools the colors and can change warm beiges into grey-beige. If your lighting is mixed – evaluate the sample with both types.

Step 3 – comparison with interior elements

Place the sample near furniture, cabinet fronts, door frames and window moldings. This is a key test - matching the color of the floor to the furniture and joinery elements is one of the most difficult arrangement decisions, which a sample allows you to decide without risk. Check if the color temperatures match - warm wood furniture with a cool gray floor often creates a dissonance that is easy to detect in a sample, but difficult to predict based on photos.

Step 4 – invoice evaluation

Touch the sample - check whether the surface texture is clear or smooth, whether you can feel the structure of the wood under your finger, whether the panel glides when gently pressed with your bare foot. The texture is not only aesthetic, but also practical - the expressive relief hides minor dirt and scratches better, and panels with a less expressive texture are easier to wash on a daily basis.

Step 5 – assessment of the quality of workmanship

View the edges of the sample at an angle. Check whether the bevel - the cut of the panel edge - is even and well made. Listen to the sound the panel makes when lightly hit - vinyl planks with an SPC core sound hollow and hard, indicating a dense core. A panel that sounds hollow and resonates may have a thinner core or lower material density.

If the sample has a click lock, check its quality - join two samples together if you have more than one. The zipper should fit securely and evenly, without excessive effort, and hold without loosening when lightly pulled.

Step 6 – sample against the background of other decors

Put all your ordered samples together and compare them as a group. Which together create a coherent palette? Which one clearly stands out in terms of color or texture? Can you pick a favorite without a moment's hesitation? If so, you have your answer. If they all look similar and you don't know which one to choose, leave them for a day or two and come back to evaluate them with fresh eyes. Often, after a short break, the favorite becomes obvious.

Common errors when evaluating samples

The first mistake is to evaluate the sample only in the store or in the wrong room. The lighting in a DIY store usually does not match the lighting in your home - always evaluate the sample in the target room.

The second mistake is to evaluate the color itself without comparing it with specific interior elements. Third - a decision based on one look at one lighting. Fourth - ignoring the texture in favor of the color itself. Two panels in the same color but with different textures will look completely different in the arranged room.

When a sample is not enough

In case of very large surfaces or specific arrangement requirements, it is worth considering ordering a larger test panel or making an appointment at the VTL showroom, where you can see the collections arranged on display. One panel gives an idea of the pattern - but only a few panels connected together show how the pattern repeats and what the effect of the entire surface looks like. Decors with clear grain and dark veins may look impressive on a sample, but on a large surface - too aggressive or monotonous, depending on the repeatability of the pattern.

Summary

A sample is an essential step before purchasing vinyl planks. Assessment in natural and artificial light, comparison with interior elements, checking the texture and quality of workmanship, comparing several decors side by side - this is a procedure that eliminates the risk of disappointment after laying the floor. VinylTechLab's offer includes a full overview of available collections and decors - and ordering samples is the best way to choose the right one.
